Cancellation and Amendment Policy


1. Booking Deposit:
To confirm your reservation, a 50% deposit is required at the time of booking. This deposit is non-refundable but will be applied toward the total cost of your stay.


2. Full Payment and Payment Deadline:
The remaining balance is due 30 days before your arrival. Please note that this payment is also non-refundable, even if you need to cancel your reservation.
Deposit Forfeiture: If the full payment is not received by the due date, the deposit will be forfeited, and your reservation will be cancelled. To avoid losing your deposit, please ensure that payment is made on time.


3. Cancellation Policy:
Non-Refundable Payments: Both the deposit and the full payment are non-refundable. We understand that plans can change, but unfortunately, we are unable to offer refunds if you cancel your reservation. However, we do allow amendments to your reservation as outlined below.

 

4. Amendment Policy:
Minimum Notice: A minimum of 14 days’ notice is required to make any amendments to your reservation.
Flexible Amendments: If you need to change your reservation, we can assist you in transferring the amount paid (both deposit and any additional payments) to a new booking.
New Rates Apply: Please be aware that any changes will be subject to current rates and availability. We will adjust any differences in rate accordingly.
How to Amend: Contact us as soon as possible if you need to make changes. We’re here to help and will do our best to accommodate your needs.

1. Introduction:

In these terms and conditions: you or your means the guest making the booking and related parties our, us or we means The Sylvan Beach House and related parties.property, accommodation means The Sylvan Beach House, located, Bellara QLD 4507. As a guest, you agree to these terms and conditions when a booking is confirmed, and payment of deposit and/or final payment is made.

2. Bookings:

Bookings at the Sylvan Beach House can be made via our website www.sylvanbeachhouse.com or via email relax@sylvanbeachhouse.net.au  Our policies are as follows:

 

Deposit:  50% non-refundable deposit to secure a booking.

Final Payment: remaining 50% non-refundable payment due 30 days prior to arrivalIf booking is made within 30 days of arrival, full payment is due at the time of booking.

Identification: A valid Driver’s License is required at the time of full payment for verification purposes.

Security Deposit: A Pre-Authorisation for a Refundable Security Deposit of $1000 will be placed on your credit card the day prior to check-in.

 

Please note that entry codes for the property will not be provided until this pre-authorisation is completed. For more information please refer to (5) Refundable Security Deposit Pre-Authorisation.

3. Payment Policy:

A non-refundable deposit of 50% is required at time of confirmation. A non-refundable final payment is required 30 days prior to arrival. If Sylvan Beach House have not received full payment 30 days prior to arrival, we reserve the right to cancel the booking.

 

4. Cancellation Terms and Charges:

All cancellations Terms and Charges are listed above in our Cancellation & Amendment Policy. We strongly recommend that you have travel insurance to cover you in the event of unforeseeable cancellations.

5. Security Deposit Pre-Authorisation:

A copy of your driver's license is required at the time of full payment for verification purposes. A Pre-Authorisation for a Refundable Security Deposit of $1,000 will be placed on your credit card the day prior to check-in. Please note that entry codes for the property will not be provided until this pre-authorisation is completed. The deposit will be released after your stay, provided no damages occur during your time at the property. The details of this agreement are listed below:

Refundable Security Deposit Pre-Authorisation:

Verification: A copy of your driver's license is required at the time of full payment for verification purposes. This can be emailed directly to stay@sylvanbeachhouse.au

Deposit Amount: A Pre-Authorisation for a Refundable Security Deposit of $1,000 will be placed on your credit card the day before your check-in date.

Access to Property: Entry codes will not be provided until the refundable security deposit pre-authorisation is completed.

Release of Deposit: This Pre-Authorisation will be released within 7 days of check-out, contingent upon a thorough inspection of the property to ensure no damages have occurred during your stay.

Damages: If damages are discovered, the cost of repairs will be deducted from the Refundable Security Deposit Pre-Authorisation, and any remaining balance will be released. Damage to the property includes equipment, breakages, lost items or the property requiring extra cleaning, the security bond will be deducted and the balance, if any refunded. Bond deductions are rare, however when they occur we will advise you of the details.

Authorisation: By making a booking, you authorise us to place a Pre-Authorisation for the Refundable Security Deposit as outlined above.


6. Rates and Charges:

Rates and charges are quoted in AUD and are subject to change at any time. Rates are inclusive of GST where applicable. Minimum stay is 2 nights. Minimum stay over holiday periods and special events is 5-7 nights.

7. Check-in and Check-out:

The property has the following check-in and check-out times. Check-in 2.00pmCheck-out 10.00am. If there are any variations to these times, you will be advised accordingly prior to check-in. We will try to accommodate requests for an early check-in however this is subject to availability and fees may apply. Despite an early request, approval will only be granted 1-2 days prior to arrival. The guest is required to contact us 1-2 working days prior to arrival to confirm early check-in requests. Check-out is 10.00am. Access to the property will be digitally locked after this time.

8. Number of Persons, Functions, Events and Parties:

Sylvan Beach House has a very strict * No Party Policy*. This includes gatherings. The property is for use by you and your booked guests only. No outside guests are permitted on the property without pre-approval from us. The number of occupants must not exceed the number of persons shown on your confirmation. Any increase in numbers must be agreed in advance and may incur additional fees. Total Maximum booked guests at this property is 6. No schoolies allowed. No private functions or events are permitted under any circumstances. Neighbours and surrounding dwellings have been provided with our contact numbers in the event of any breaches. We reserve the right to refuse any bookings that we determine are for an inappropriate purpose, may cause excessive noise or general disturbance.

9. Noise and Behaviour:

Excessive noise, general disturbance or anti-social behaviour is strictly prohibited. We value and respect all of our guests, our neighbours and surrounding community. If a complaint of excessive noise or anti-social behaviour is received, a first warning will be given. If a second complaint is received, this will result in immediate eviction from the property without refund or booking fee or bond. Please be respectful of noise levels including music after 9.30pm.

10. Facility Rules:

All guests using our facilities do so at their own risk. You acknowledge, we take no responsibility for accidents or injuries.

11. Disclaimers:

We are not responsible for failure or interruption to power supply, water outages or services to the property for any reason beyond our control.Property furnishings may be slightly different to those shown in the property photos. However, if they differ, the furnishings will be of the same standard or higher as that shown in the pictures.The description of the property is given in good faith. From time to time, changes may occur at the property therefore we take no responsibility for irregularities or changes. Your actions, conduct and safety are the responsibility of all guests. We do not condone unsafe, irresponsible or illegal actions/behaviour on or off the property, during your stay or at any other time. As a condition of entering and/or staying at the property, you and all booked guests confirm that they understand and agree to indemnify us against any liability, damage, loss of action due to any actions, incidents, loss or injuries while within or outside of the property. All bookings are made in good faith; however, we reserve the right to cancel any bookings due to unforeseen circumstances and refund you the full number of monies paid to date.

12. Changes Beyond our Control:

Compensation will not apply if a significant change is made for reasons beyond our control. These include: war, threat of war, riots, civil disturbances, terrorist activity, industrial disputes, natural and nuclear disasters, fire, epidemics, health risks, changes due to rescheduling or cancellation of flights by an airline or alteration of the airline or aircraft type; closed or congested airports or ports, hurricanes, floods and other actual or potential severe weather conditions, act of government or public authorities or other circumstances amounting to force majeure and/or Acts of God

13. Commercial Use:

The property is not to be used for commercial use.

14. No Tenancy:

This booking is not a residential tenancy agreement under the residential tenancy legislation. You agree that regardless of your length of stay, there is no tenancy or other rights created under any landlord and/or tenant laws and there are no such laws that apply to your stay.

15. Parking:

The property has ample off-street parking. Parking is at your own risk, and you agree you will not make any claim against us for any damages to your vehicle regardless of how or where the damage occurred.

16. Keypad Locks:

The property has a secure keypad lock that requires a code for check-in. You will be provided with details of the check-in process and code the day prior to arrival. The secure code will be activated at your check-in time and deactivated at your check-out time for security purposes.Guests are required to lock all doors, windows and gates securely upon check-out.

17. Linen:

Linen, towels, bedding are provided by the property. Please do not use towels and face washers to remove make-up. No spare linen or towels are provided. No beach towels are provided.

18. WIFI, Internet Access and Smart TV:

The property is connected to the internet and WIFI details are available for all guests. Smart TV is available, please use your personal login details to access your preferred streaming service.

19. Cleaning:

We request that guests leave the property as it was found to avoid extra cleaning charges. This includes washing dishes, fridge emptied, placement of rubbish in the bins provided and BBQ cleaned. The cleaners will strip bed linen, so this in not required by you. Additional cleaning charges may apply if the walls, floors, windows and/or linen are excessively dirty. These charges will be deducted from your Security Bond. Please leave all used towels in the shower.

20. Rubbish and Recycling:

We require you to put all rubbish and recycling in the appropriate bins provided outside the accommodation prior to departure.

21. Breakages and Damages:

In the event of breakages, dames or lost items, we request that you contact management as soon as possible to report the incident. Breakages, damages or lost items to the property which are caused by any guest and/or guest’s visitor will be deducted from your Security Bond. We have a strict policy of no moving items of furniture, (indoor and/or outdoor) within the property. Movements may cause unnecessary damage to items and/or the property and can cause excess cleaning time due to increased house-keeping inventory checks and replacement of items. Any damages or excess cleaning caused by movement of items or furniture will be deducted from your bond.

22. Smoking and Vapes:

This property is strictly non-smoking. Smoking and vaping inside and on decks is strictly prohibited. If there is any evidence of smoking inside the accommodation you will be charged the full $1000 security bond for a specialised clean to eliminate odours.

23. Security Cameras and Recording Devices:

Two security cameras and recording devices have been installed on the exterior areas of the property. One is located on the front deck to record the front yard and front door/deck activity. The second is located on the back deck to record the back yard and back door/deck activity. These security cameras are only monitored in the event of a breech of house rules for example more than stated number of guests on the booking are at the property. No security cameras or recording devices of any part have been installed in the property’s interior including common areas and shared spaces like the living room.

24. Fire and Emergency:

Smoke detectors have been installed at the property.Fire blanket has been installed in kitchen.

25. Animals and Pets:

Pets are not permitted on the property or surrounding land. Violation of these terms will incur additional cleaning fees deducted from your security bond and will result in immediate eviction. Neighbours and surrounding community have been supplied with managers contact details if this is breached.

26. Personal Belongings and Lost Property"

You acknowledge that we do not cover your personal belongings under our insurance policy, and therefore take no responsibility for any loss or damage of your personal property while staying at the property or left on the premises. You also agree, you will not make any claim against us for any damages or loss to your personal belongings regardless of how or where the loss or damage occurred.
